3.      Minutes of Previous Meeting

a.      Everyone accepted the minutes as a true account of the WVA General Meeting held on 26th September 2012.

 

4.      Matters Arising

a.      Matt Stevens to liaise with Richard Howells to add a link on the WVA website to the calendar on the SWVA website.

Action – Sarah Newstead to send Richard Howells the link to the SWVA website calendar.

b.      Can the bonus points be added in near real time so that position in league can be seen?  Clubs should consider if the results approval should generate bonus points, points deducted if not approved or no points for the next AGM.

Action – Richard Howells to see if an extra column can be added to the League Table showing the bonus points.

c.    The costs of the Pre Season Tournament were deemed as acceptable as 2 courts had to be booked for 6 hours and the cost of the medals.  It was noted that court costs have been less in the past due to playing at Melksham.

Action – Serena Morten to provide electronic copies of the finances for inclusion into the minutes (for AGM and current meeting).

d.    There is a course Safeguarding in Sport which costs around £25 and takes around 3 – 4 hours.

Action – All clubs to advise Jenny Boorman of the name of the clubs Child Welfare Officer.

 

e.    It was requested that there be a single page for player registrations as it was a number of years ago as it makes it easier to view all players.

Action – Richard Howells to look into changing the viewing format of the registered players and an archive folder.

f.       Junior League

Action – Andrew Wescombe to suggest a date/ format for a trial junior tournament in the New Year.

 

5.      Treasurers Report.

a.    See Appendix A

 

6.      Child Welfare Report.

a.    There have been no issues to report.

b.    There is one outstanding action for all clubs.

Action – All clubs to advise Jenny Boorman of the name of the clubs Child Welfare Officer.

 

7.      WVA League Report.

a.    See Appendix B

 

8.      Ladies and Juniors Report.

a.    See Appendix C

 

9.      Competitions Secretary Report.

a.    See Appendix D

b.    Trowbridge players need to pay player registration for the Dave Kinder Cup.

c.    Date set for the End of Season Tournament is 18th May with the presentation evening after.

d.    Raffle tickets should be sent out soonest to try and sell as many as possible.

e.    Possible location for the presentation evening is Devizes Rugby Club.

 

10.   Junior Development and Competitions.

a.    The boys are doing well with over 30 at the training sessions.  Volleyball England has reorganised some of their dates and they now clash with junior cadets and the regional squad.   Taunton will be a volleyball centre for juniors.  Some juniors are now playing in the Melksham premier league squad.  Training at Exeter is held about every month and the dates are on the SWVA website.  To register interest in training click on the link on the website.

b.    The girls now have 10 juniors coming from Devizes.  There was a presentation in a Lavington School assembly which generated 10 new player for the after school club (now approximately 30 turn up).  Calne has entered a junior team into the ladies and juniors league (boys and girls).  There are 3 girls from Swindon that now turn up to SW training as well as 5 Devizes girls.  4 of these girls are training for the south divisional squad and 1 is training for U14 England cadets.

c.    Not many juniors are coming through from Wiltshire.  It was suggested that a minis tournament might be good to get interest, which could possibly be played at Lavington School after a national/ SW match.

 

11.   Beach Development Report.

a.    It was agreed to start looking at the summer season at the next meeting

b.    Denise Austin (SW beach development officer) is to organise/ co-ordinate junior beach in the south west.  She will set up a training camp at Bournemouth indoor beach.

Action – Cliff Ball to send Irwin Aiken an email.

 

12.   Mavericks Men

a.    The national team, were in the national cup and won their first round match against Brentwood (Div 2 team) 3-1.  The team was beaten in the second round by Solent which is a super 8 team.  The team is now in the plate competition.

b.    The team has won 2 matches in the league and lost 2.

c.    The south west team have won 2 matches and lost 4.

d.    The south west has a large squad but struggles to get players for the matches.

e.    Some of the players are able to play in the team that have previously only ever played local league so are getting good experience.

 

13.   Club Round Up

a.      Olympiad – Between 9 and 15 players turning up at training each week.  The team has now managed to win a match and there is good enthusiasm in the club.  The club is playing in the Dave Kinder Cup but has a Bye in the first round.  The club is considering a Child Welfare Officer but have not concluded the discussion.  Everyone is benefiting from having a constant coach that is able to be there most weeks.

b.      Wootton Bassett – Pretty good start to the season having won and lost some games.  The Ladies are doing well.  Training on a Sunday is now 4 hours.  Juniors are from 6 – 7 with Phil Heads coaching and assistance from some others.

c.      Melksham – Juniors train on a Tuesday with 12 – 14 turning up.  There are some issues with getting a referee as there is only 1 ref and quite a few adults on shift work.  Played 2 matches and lost but this is better than last season.

d.      Devizes – The club has lost 4 – 5 players since the start of the season due to various reasons.  There are normally 12 adults at the Thursday training session and 10 beginner/ juniors.  The after school club has 20 – 30 turning up.  The club has entered the girls U16 & U16 national cup with the first match on 1/12/12.  3 players for this are from Plymouth.  Sunday matches are hard to fulfil as a lot of players have other volleyball commitments on Sundays.  Sarah Newstead is now a level 1 coach – Well done.  Second team has good numbers but the first team is light on adults.  The club is playing 2 teams in the ladies and juniors but this will probably go down to 1 next season.  Matt Stevens has been invited to help the national squads and been asked to be assistant coach for the England Junior Ladies.  The first U16 EU qualifier is in the Ukraine.  The WVA congratulated Matt on his achievement.

e.      Calne – See Appendix E.

 

14.   AOB

a.      Volleyball England proposed new fees were rejected 70 – 40 votes and therefore the fees for next season will be the same format as this season.

b.      Meeting dates

·   Currently there are generally 4 meeting during the year plus the AGM.

·   It was agreed that this was correct number of meetings.

·   As some clubs different contacts, it was thought that a list should be generated the distribution of minutes and official communication.

Action – Cliff Ball to send email for verification of club contacts for official notifications.

c.    WVA rule amendment vote.

·   There was a unanimous vote in for the inclusion of a section in the rules for fees/ fines for engraving and returning perpetual trophies.

Action – Cliff Ball to send email for verification of club contacts for official notifications.

d.    Cliff ball mentioned that the veteran’s tournament was held on 5/11/12; Wiltshire Mavericks finished in 5th position.

e.    Matt Stevens mentioned that if a coach does not register for 2 years they will lose their qualification.

Pre -Season Tournament

This included the engraving/trophy bill of £77.86 and the cost of a horn £7.61.

Poorly attended, but a fantastic days play, the cost of the hall was expensive and the lack of teams entered was poor, we made a heavy loss even with making teams pay £40.00 each!

We have also purchased score sheets and Volleyball England Club affiliation for WVA

League entries and Registrations

I have now chased all club re payments and all have confirmed their imminent payment to the account; this should bring the total up towards £3000.00 hopefully, with no bills outstanding at the moment!

 

Appendix B

League Secretary’s Report

The league is running smoothly.  Matches are being played and results are being entered.  I'll remind teams that there is a bonus point for the home team entering the result within a week of the match and another for the away team approving it within two weeks.

 

I'll also remind teams that a copy of the SIGNED score sheet is still the official result of the match and is to be lodged with the League Secretary.  Legible scans are accepted, they may also be posted.  The league rules say within 5 days of the match.

 

I had to penalize Calne for not registering players early enough before their first league match.  IMO the rule wording '... no later than 24 hours prior to the start time of a scheduled WVA Mixed League fixture' seems over prescriptive.  Should we consider relaxing it to '... no later than the day before a scheduled WVA Mixed League fixture'?

 

Actions from last meeting.

I can do this once I know where the calendar is.

The table already shows bonus points; they appear in the columns labelled home and away adjustments.  Bonus points come from match wins (2 points) and prompt entry online (1 point).  Prompt entry points are added in real time when clubs approve results.  Win bonuses are added in real time when the league secretary (me) approves a result.  I don't (generally) approve results until after I have seen and checked the score sheet.  This is one of the reasons I want to see a copy of the score sheet.  Last year I was very late with match approvals.  You can tell if a match has been approved because there is a tick in the column League Sec Approved.

c.    Insurance – It was suggested that a copy of the group insurance policy be attached to the minutes of the meeting as an appendix.

Action – Cliff Ball to get Richard Howells to put a link on the WVA website with reference to version and date.

The prime use case is for clubs to look up registration numbers.  I would like to do this as part of allowing clubs to self-register players.

 

 Appendix C

WVA Ladies and Juniors League Report

 

Since the last WVA meeting there have been 2 fixtures played - 29th Sept and 4th November (the October fixture was moved to the beginning of Nov).  4 teams entered on both occasions.

 

The L&J webpage on the WVA website is now up-to-date with the current results from the fixtures and league table.

 

I would like to thank everyone who has turned up to support this league, I would also like to ask all club representatives to make sure all relevant club members know about these fixtures and try to encourage more people to come along. The next fixture is on Saturday 24th November at Lavington School Sports Hall starting at 11am.

Appendix D

Competitions Secretary’s Report

 

Dave Kinder Knock-out Cup

Eleven teams have entered the Dave Kinder Knock-out Cup. As a condition of entering teams were asked to accept that the losing semi-finalist would organise the officials for the final. The draw for the first round was done at the start of the month and teams have been asked to complete the first round matches by the end of December. The expectation is that the schedule for the subsequent rounds will be approximately the same as last season, in other words the second round to be played by the middle of February, semi-finals in March and the final in April.

 

The first round fixtures are:

Salisbury Pagans v. Erlestoke (to be played at Erlestoke)

Melksham v. Calne Meteorites

Wootton Bassett Aces v. Trowbridge

 

There are byes for Wootton Bassett Bees, Devizes 6X, Calne Comets, Olympiad and Calne Asteroids.

End-of-season Tournament

Richard Morten has reviewed the calendar for suitable dates for the end-of-season tournament and suggested Saturday 18 May. We are investigating the court availability for that date but the preference for cost reasons is the Christie Miller Sports Centre in Melksham. We have not started looking for a venue for the presentation evening afterwards and would welcome suggestions on the format and location.
