3.      Minutes of Previous Meeting:

    1. Minutes of General Meeting Tuesday 2nd December 2014 accepted as a true account.

 

4.      Matters Arising:

a.    From WVA Gen meeting 5th March 2014:

5a        There has not been any further information regarding insurance cover or disclaimers for local beach events.

ACTION – Irwin to chase once again.

5c        Irwin noted that the difficulty in making a bid for funding (£10k is available from Sport England) is dependent on catering for new players and their development.

Neil Bentley went to a meeting in Bristol and said that there are some grant that are easy to obtain.  Awaiting info to be sent through.

ACTION – Cliff to scan leaflets for attaching to minutes.

follow up at a ‘Swindon Sports Forum’ meeting to be held shortly. and send details out.

5d        Volleyballs have still not been returned from Kelly Jones/Swindon.

ACTION – Cliff to discuss with KJ.

 

 

    1. From WVA AGM 4th June 2014:

4e        There are some clubs who need to confirm the contact details of their Welfare Officer to Jenny.

Tony Cant + 2 others from Erlestoke.

ACTION – Erlestoke and Swinton to send details to Jenny.

7a        Committee/constitutional documents are to be placed onto the website; outstanding item.

ACTION –Richard Howells to contact Cliff Ball.

7g        Bonus point discussion actioned and to be revisited in March.  Emails to be sent to away club when home team have entered results.  This process should be online in January.

ACTION – Emails now working.  Thanks go to Richard Howells for the implementation.

 

c.    From WVA Gen meeting 2nd December 2014:

5c ii     Pre-Season competition made a loss of ~£80 and getting the court at Melksham was problematic.

ACTION – Matt Stevens to confirm date of Cardiff competition as this conflicted with the Pre- Season Tournament.

5d i       Club welfare officer.  Coaches must be CRB/DBS checked

ACTION – Clubs to have their Welfare Officers to confirm to the WVA Welfare Officer that their own and current members’ statuses regarding CRB/DBS are up to date.

ACTION – Matt Stevens to add Club Welfare Officer (including email address) to the team registration form to be used by next season's League Secretary.

5e iii     Club affiliation number for Volleyball England

ACTION – Matt Stevens to add club VE affiliation number to club registration form to be used by next season's League Secretary.

5g ii     Dave Kinder Cup:  Only 8 teams entered.  Matches are to be played by end of December (but there have been 2 matches confirmed as being played in January).  The final is to be played in Calne during April.  As less teams are entering the cup, should the rules of players being "cup tied" be changed.

ACTION – Consider adding a discussion of players being "cup tied" to the AGM. - proposals to be supplied prior to the AGM.

5i i       Beach Development.

ACTION – Matt Stevens to supply Irwin Aiken email list so the beach events can be sent to everyone (As BCC only).

 

5.      Executive Officers Reports:

a.    Chair – Cliff Ball:

See appendix A for report.

b.    Vice Chair – John Postance - No report was submitted.

c.    Treasurer – Serena Morten

                              i.        See appendix B for report.

ACTION – Serena Morten to check report and resubmit (if required).

                             ii.        It was discussed how to ensure team/ player payments are made in a timely fashion.

ACTION – League Secretary and Treasurer to work out a method to track payments.

                            iii.        Previously it was agreed that newly qualified referees are eligible to receive £20 subsidy towards payment of the course on completion of 1st refereeing 2 matches.

ACTION – Newly qualified referees to inform  treasurer of completion of refereeing 2 matches.  Treasurer to confirm.

d.    Club Welfare – Jenny Boorman

                              i.        No issue to report.

e.    WVA League – Matt Stevens

                              i.        See appendix C for report.

                             ii.        It is a major disappointment that 5 matches are having to be rearranged and that no dates have been supplied.

ACTION – Clubs requiring dates to be rearranged must agree dates by 31/03/15 or points will be given if not agreed.  Matches to be played by 24/04/15.

                            iii.        Play off to be played Thursday 30/4 @ Lavington School. If Erlestoke end up second in league, they have the option to host or forfeit.  Play off can't use the play down system. 

f.     Ladies and Juniors League – Sarah Newstead

                              i.        See Appendix D for report.

                             ii.        Everyone thanked Sarah for her effort running the league.

                            iii.        It was mentioned that Bath Uni would like to play in the Ladies and Juniors League.  For a team to enter they must register the team for the tournament, register the players and be affiliated to Volleyball England (supplying affiliation number).

g.    Competitions – Neil Bentley (on behalf of Calne Comets)

                              i.        The first round of the Dave Kinder cup was completed in early January.  A couple of fixtures were allowed to be played soon after the deadline due to problems finding suitable dates before Christmas.
Semi-final draw for Dave Kinder cup:
Calne Comets v. Devizes 6X (due to be played 22 March)
Wootton Bassett Aces v. Olympiad A (15 March). 

Final booked for 26 April at Calne Leisure Centre with warm-up starting at 19:15. Each losing semi-finalist will be expected to provide three officials for the final. A decision is still need whether to appoint the referees.

                             ii.        Nothing has been done about the end-of-season tournament. The preferred date (16 May) conflicts with the SW championships.

h.    Junior Development – Neil Bentley

                              i.        Two junior mini-volleyball tournaments have been held this year with the most recent last Sunday when we had fourteen teams from Devizes, Calne and two schools (Wootton Bassett School and a primary in Swindon). Both tournaments have been held at Lavington School on a Sunday afternoon following a Bath Mavericks match, which enabled the cost of the hall hire to be reduced.

Thanks need to go to Matt Stevens and Sarah Newstead in particular without whom the tournaments would not have taken place. In addition Cliff Ball, Kelly Jones, Callum Stone and Naimh Flanagan have to be thanked for helping to run the tournament.

We are considering holding a third tournament before the end of the season.
In terms of juniors being part of the South-West regional squads, girls from Wootton Bassett (3), Devizes (2) and Calne (1) have attended training for the U16 squad, as well as 3 girls from Calne started training with the U14 squad last month plus boys from Devizes and Calne have trained with the boys U16 squad.

As well as organizing another mini-volleyball tournament, discussions with the Beach Development Officer are needed.

i.      Beach Development – Irwin Aiken

                              i.        Will try sort out some tournaments but work is prohibiting the organising of the events.  To aid with getting players to the events it was suggested that the full distribution list be used (see matters arising). 

                             ii.        Will try and set up a program of events which does not conflict with existion beach tournaments and will probably use Bowood or Calne as a venue (grass).

j.      Mavericks Mens & Ladies

                              i.        NVL - Steve Grimes (Devizes):  Paul Rainey reported that there 10 - 14 at training which is run every 2 weeks.  Currently 2nd in the league with 1 match remaining.

                             ii.        Bath Mavericks Ladies – Matt Stevens:  The team is doing really well.  There are 3 matches remaining and the possibility of coming 1st, 2nd or 3rd.  The team want to try and go up to Division1.  There are 10 - 18 players at training.

                            iii.        SW Mens - James Morten-Scott (Calne Comets):  James is injured but is still running the team.  The team is mid table but is struggling to get enough players for the matches.  Only 1 more fixture to play.

                           iv.         SW Ladies (WB Ladies):  It has been a struggle to get players for some of the matches.  The team has won 4 matches (2 by default).  Vicky Cooper has been MVP.  To try and increase numbers, the team might look at other clubs, but to play in the team they have to train.  There is also talk of playing in the Bristol League.

 

 

 

6.    WVA Club Summary Reports:

a.    Calne Comets – Training is positive and going well.

b.    Royal Wootton Bassett – Juniors is going very well and there is good development.  Ladies is going OK.  The men's team has lost some players and thje numbers at training fluctuates due to court time.

c.    Olympiad –All good with 12 - 15 at training.

d.    Devizes – Have manage to get a grant from Wiltshire council.  Running an after school club with a turnout of 18.  Adult training has suffered (4-5 adults) due to a lot of players training with the Mavericks.  Steve/ Sarah are hosting 15 new juniors at Lyons Clubs.

e.    Salisbury/ Swinton/ Erlestoke – Provided no report

 

7.    AOB:

a.    WVA Web Server Payment – Renewal required in March but the payment has been reduced to £100.  Individual club sites can be hosted on the server for £50.  A vote was taken for renewing the service (6 for, 1 against).  Payment to be made.

b.    WVA Rules Re-visit - There was a time limited discussion about rule changes.

ACTION – Proposals for rule changes to be supplied prior to AGM so that they can be voted on.

c.    WVA Logo & Motto – It was suggested that people put in proposals for logo.

d.    Jenny Boorman - Said that she will be stepping down from the position of WVA Welfare Officer.

e.    Serena Morten - Said that she will be stepping down from the position of WVA Treasurer.

f.     Matt Stevens - Mentioned that the state of the hall at Lavington School has not been too good recently.  If teams/ clubs use the hall, could they leave it tidy.  There have been a number of incidences where kit has not been returned to its original storage location and there has also been some damage to equipment.  As the equipment blongs to Devizes Volleyball Club, there may be a need to charge more than £5 per session for use of the equipment.

g.    Cliff Ball - mentioned that he is happy to step down from the Chair position if someone wants to take it on.

Appendices

Appendix A - Chair Report

Introduction

The Wiltshire Volleyball Association (WVA) is continuously working hard to maintain the number of teams and players in the league and is always trying to recruit new members.  In Wiltshire we tend to have a turnover of foreign nationals every year who all seem to bring with them some fantastic skills and a wealth of experience.  At the end of last season it unfortunately lost one team but gained another, Swinton Engineers (based in Tidworth).  We have also had an enquiry from a Fijian team whom I am trying to contact.

WVA Clubs

I am pleased to say we have 8 affiliated clubs in the WVA with a spread of players from most clubs playing their part in the running of the WVA. There are currently 14 teams in the league with 7 teams in the Premier Div and 7 in Division 1.  Most clubs have at 2 teams, although Salisbury, Devizes and Calne all manage to field 3 teams.  To assist with fielding more than one team we operate a ‘player down’ rule which allows restricted use of ‘stronger’ players to fulfill fixture commitments where necessary.

The Wiltshire Mavericks Men’s teams in the NVL and SWVA are competing well, with the NVL team currently in 2nd place having beaten two teams above them recently.  The Ladies Div 2 team coached by Matt Stevens have battled their way to third in the league with some strong performances …… could Division 1 beckon for the first time for a Wiltshire Ladies team?

Competitions

The leagues are all running smoothly and the Dave Kinder Knockout Cup competition is at the semi-final stage with the final due to be played in April.  The Ladies League is gaining new members and is now over the midway point in the season.  There are no real surprises at the moment but there could be a few upsets around the corner as some teams are gaining strength as the season heads towards the home straight.

Junior Development

As an association we have been striving to increase participation in junior volleyball under the leadership of Neil Bentley.  Working with Matt Stevens a junior tournament was held on 11th Jan where juniors from most Wiltshire clubs competed in a round robin mixed junior tournament.  It proved successful and another is planned for 8th March.  Hopefully this will encourage juniors to want to compete in the SW Grand Prix in the near future.

I need teams to agree a date for these fixtures by the end of March or points will be awarded to the team that didn’t ‘pull out’ of the original fixture.

 

All matches must be played before the 24th April.

 

Playoff to take place at Lavington School on Thursday 30th April (2nd in 1st Division, 2nd from bottom in Prem).

Question:  What happens if Earlestoke Prison finish 2nd in 1st Division and Devizes Barrels finish 2nd from bottom in the Prem (Devizes have 3 players U18).

 

Online system now sends emails to team approvers to state when results have been put online ready for approval.

 

Appendix D - Ladies and Juniors League Report

5 fixtures have now been played with either 4 or 5 teams playing at each. There are 2 fixtures left this season 21st March and 18th April (which includes the season finale).

I am pleased to say that the standard has increased again this year with some close games being played.

Devizes A are top of the league with 51 points, followed by Salisbury Bluestones 7 points behind in second. Calne are in 3rd place with 18 points.

Thank you to all clubs who enter teams into these fixtures and for your continued support keeping this league going.
